ENTRY INFORMATION AND DEADLINES

2009 Luxton Fair Exibit Entry Form  (Booth/Commercial Rental click here)

 

IMPORTANT DEADLINES for Sections A-D
Monday September
14th at 6 pm
        Last day for submitting entry forms at regular fees (.25 for children and .50 for adults).
Late entries will be accepted Tuesday and Wednesday but the fees will double.
Please don’t bring your actual exhibits before Thursday between 1-6 pm.

Wednesday September 16th at 6 pm
        Last day for submitting entry forms at Double Fees (.50 for children and $1. for adults).
You may pick up your entry tags from the office if your entry form was submitted on Monday or Tuesday.

Thursday September 17th from 1 pm to 6 pm
      
Bring your actual exhibits to Luxton Hall, for sections A-D.
Entry tags for attaching to your entries/articles will be in Luxton Hall.
Please give yourself plenty of time to get your entries ready for judging.
Judging bigins at 7:00 pm promptly. Building closed to public during.
No new entries accepted Thursday excepted as noted in Horticulture Section.

Thursday Sept 17'th at 6 pm
         Deadline for placing exhibits in Luxton Hall. Judging starts promptly at 7 pm.

Sunday September 20'th from 5 -6 pm
Exhibits may be picked up from Luxton Hall; prize money may also be claimed in Hall.

There is a locked box beside the door of the office (the A frame building)
Someone will be in the office from 3:00 pm to 6:00 pm during the week before the Fair.

ENTRY RULES

1.      Completed entry forms, with correct entry fee, to be mailed or hand delivered to the Luxton Fair Secretary (or Show Secretary as noted for ANIMAL SECTIONS by entry deadlines. Entry forms may also be dropped off at the fair office, located to the left of caretaker's trailer.  Please do not bring your exhibits before Thursday at 1 pm, just bring the entry form

2.      If paying by cheque please make payable to LUXTON FAIR.

3.      Entry fees are not refundable. If you wish to change a class this is a new entry.

4.      No Entries accepted on Thursday except as noted in Horticulture.

5.      Entries must not have been used or worn before exhibiting or they will not be judged.

6.      Entries must not have been previously exhibited in Luxton Fair, with the exception of livestock and potted plants.

7.      All animals must be entered in the name of the owner and must have been the property of said owner for at least thirty days prior to the fair.

8.      All entries must be the work of the exhibitor.

9.      Exhibitors are not allowed more than one entry per class unless otherwise specified.

10.    No more than one member of a household may enter the same variety of produce, fruit or flowers in the same class from the same garden except children's classes.

11.    PRIZE MONEY must be picked up on Sunday between 5:00 p.m. and 6:00 p.m. unless otherwise specified. Unclaimed prize money will revert to the Luxton Fair.

12.    All entries are subject to the rules mentioned herein, and to those listed in individual sections.

13.    Exhibits in Sections A-E must be in place and ready for judging before 6:00 p.m. Thursday. All exhibits displayed at owner's risk. Livestock exhibits to be ready for judging as specified in individual section rules. Section rules specify times committee will be on hand to take exhibits.

14.    Exhibits may not be picked up before 5:00 p.m. Sunday. All entries must be picked up between 5:00 and 6:00 Sunday. Prize money may also be claimed at this time.

JUDGING RULES

15.    Judging of Sections A-E will take place Thursday evening at 7:00 p.m. Closed to public.

16.    Points will be awarded as follows: 1st-3, 2nd-2, 3rd-1. Best in Show-2

17.    No first prize will be awarded when competition is entirely lacking unless award is justified in opinion of Judge.

18.    No third prize will be awarded for classes of less than five entries.

19.    The decision of the judges is FINAL. All judges are chosen on the basis of knowledge, ability and experience. Judges will not award a prize to an unworthy exhibit, whether there is competition or not. An exhibit will be judged on it's individual merit and will place as Judges deem fit. The identity of the competitor is not revealed to any judge in advance of the actual judging.

EXHIBITORS OBLIGATIONS AND LIABILITIES

20.    Any exhibitor who violates any of the General Rules or any of the rules printed in this prize list, and upon the decision of the Fair Committee, shall be liable to forfeit any or all prize money and awards made to said exhibitor, and may also be barred from future entries for a period decided by the Fair Committee.

21.    While the Fair Committee will take responsible precautions to ensure the safety of the exhibits displayed at the fair, it must be understood that the owners must assume all risks of exhibiting them, and should any exhibit (article or animal) be accidentally injured, lost or stolen, the Fair Committee will give all the assistance in their power toward recovery of the same, but will not make any payment of the value of the exhibit, or any portion thereof.

22.    Exhibitors of animals, machinery in motion and other exhibits liable to cause accident, injury or damage to property or to persons coming into contact with them, shall guard their exhibits and protect the public from coming into contact herewith, and every such exhibitor shall indemnify the Luxton Fair and M.F.I. from and against all claims and demands, costs, charges and expense which it may incur, suffer, or be put to, by reason of any accident or of any person being injured or suffering damage through or by reason of any such exhibit not being properly guarded, or the public not being properly protected therefrom. This includes 4-H Horse events and animals used for pony or other rides.

23.    No claim for injury to any person or property shall ever be asserted or suit instituted or maintained against Luxton Fair Committee, Metchosin Farmers' Institute, its officers or their agents.
